We are seeking a highly motivated and passionate hospitality professional to join our team as a Sales Coordinator.

The Sales Coordinator provides key hotel sales functions for a select service hotel. This role helps drive revenue by coordinating client communications, managing group bookings, preparing proposals and contracts, and supporting the operations team in daily operations. They will also assist with updating records, logging sales activities, providing client tours scheduling meetings, managing appointments and client agreements.

They will also assist with updating records, logging sales activities, providing client tours scheduling meetings, managing appointments and client agreements. This position reports to the hotel General Manager.
The ideal candidate is detail-oriented, customer-focused, results-driver, and highly organized.
They will demonstrate strong listening and communication skills, initiative, a high level of professionalism and the ability to work independently as well as in a team environment.

Responsibilities

  • This position will also assume responsibilities of the Guest Service/Front Desk Agent position as they will assist with the Front Desk.
  • Coordinate the hotel’s sales effort by preparing proposals, contracts, meeting/banquet event orders (if applicable), and sales presentations.
  • Maintain and update sales databases, client files, and CRM systems.
  • Respond to sales inquiries via phone, email, and online platforms in a timely, professional manner. Company requirement within 2-hours.
  • Coordinate site tours, client visits, and hotel walk-throughs.
  • Prepare weekly and monthly sales reports.
  • Support the booking process for group rooms, meetings, and events.
  • Communicate group details to appropriate hotel departments (Front Office, F&B, Operations).
  • Assist with rooming lists, billing setup, and event details to ensure successful execution.
  • Track group blocks, pickup, and attrition deadlines.
  • Serve as a point of contact for clients.
  • Build and maintain positive relationships with corporate clients, meeting planners, and travel partners.
  • Follow up with clients post-event to ensure satisfaction and encourage repeat business.
  • Maintain sales materials, brochures, and collateral.
  • Coordinate sales calls, sales meetings, trade shows, and promotional events.
  • Perform general office duties such as scheduling, filing, and supply management.
  • Enter, retrieve, reconcile, and verify information (e.g., commissions, leads, third parties).
  • Promote awareness of brand image internally and externally.
  • Other duties as assigned by supervisor or management.
Working Conditions:

  • Typical schedule is Monday–Friday, with occasional weekend or evening hours for events or deadlines.
  • Fast-paced hospitality environment with frequent interaction with guests and team members.

Skills & Qualifications

  • Minimum of 2 years sales experience; sales and front office experience is preferred
  • Strong knowledge of PMS systems and online platforms
  • Proven ability to generate business and meet sales goals
  • Excellent verbal and written communication, organizational, and problem-solving skills
  • Positive attitude, professional demeanor, and customer-service-oriented mindset.
  • Ability to multi-task, prioritize, and maintain composure under pressure
